What a hvac quote is for
A quote is a firm price. Once your customer accepts it, that is the number — so it needs an expiration date, a defined scope, and clear terms on what falls outside it.
For HVAC contractors selling to homeowners and property managers, the quote is usually the only thing the customer compares side by side against two competitors. It is doing sales work whether you designed it to or not.
The unit that trips this trade up: Tonnage and SEER2 rating change the price more than anything else on the job, so both belong on the document in writing.
What every hvac quote must have
- An expiration date, so the price does not follow you around forever
- A scope specific enough that both of you can tell what is excluded
- Deposit and payment terms stated before the work is scheduled
- A named change-order process for anything discovered after approval
- Your license or registration number where the trade requires it
What HVAC contractors bill for
These are the lines that show up on most hvac quotes, with the unit each is normally priced in. Ranges are illustrative planning figures, not market data — your own costs, region, and margin decide the real number.
| Line item | Unit | Typical range |
|---|---|---|
| Condenser / outdoor unit (by tonnage and SEER2) | each | $3,200–$7,800 |
| Air handler or furnace | each | $1,800–$4,500 |
| Refrigerant line set replacement | linear ft | $12–$28 |
| Ductwork repair or replacement | linear ft | $25–$65 |
| Thermostat (programmable or smart) | each | $120–$450 |
| Permit and mechanical inspection | each | $150–$500 |
| Crane or rooftop rigging | each | $400–$1,500 |
| Labor — install crew | hour | $95–$175 |
Typical deposit convention: 30–50% at scheduling for equipment, balance on inspection sign-off.
HVAC quote example
A realistic job, priced line by line, with the arithmetic shown the way a customer sees it:
| Description | Qty | Unit price | Line total |
|---|---|---|---|
| 3-ton 15.2 SEER2 condenser — 10-yr parts warranty | 1 | $4,850.00 | $4,850.00 |
| Matching air handler with TXV | 1 | $2,250.00 | $2,250.00 |
| Refrigerant line set — 30 ft | 30 | $18.00 | $540.00 |
| City mechanical permit and inspection | 1 | $285.00 | $285.00 |
| Install labor — 2 techs, 8 hrs | 16 | $110.00 | $1,760.00 |
| Subtotal | $9,685.00 | ||
| Tax (7.75%) | $750.59 | ||
| Total | $10,435.59 | ||
Notice that every assumption is a line rather than a conversation. That is the whole difference between a quote that holds up and one that gets renegotiated in a driveway.
Three mistakes that cost HVAC contractors money
Quoting tonnage before a load calculation
A number given from the driveway becomes the number the customer holds you to. If you have not done the Manual J, say the tonnage is subject to load calculation on the document itself — not in conversation.
Leaving refrigerant line set out
On a changeout, mismatched or contaminated line sets are the most common surprise cost. Price the line set as its own line, even at zero, so replacing it later is a change order and not a fight.
Silence on the permit
Mechanical permits vary by hundreds of dollars between jurisdictions. An HVAC quote that does not say whether permit and inspection are included invites the customer to assume they are.
How to send a hvac quote in about a minute
