What Is SendQuoteNow? How Sending a Quote Works — Explained
What SendQuoteNow does

You price a job. We turn it into something your customer can say yes to.

SendQuoteNow takes the numbers in your head — three line items and a tax rate — and turns them into a branded PDF quote your customer can open, read, and approve from their phone. This page explains exactly what happens at each step.

The short version

What is SendQuoteNow?

SendQuoteNow is a quoting tool for people who sell work, not products. You type in what the job involves and what it costs. It produces a professional PDF with your business name and logo on it, emails that PDF to your customer, and gives them a web page where they can approve or decline with one click. You get an email the second they do.

That's the whole product. There is no CRM to configure, no pipeline to maintain, and no onboarding call. If you can write a job down on the back of a business card, you can send a quote in about a minute.

The problem it solves: most jobs are lost in the gap between "I'll get you a price" and actually sending the price. The contractor who sends a real, professional-looking quote from the driveway usually beats the one who sends a text three days later.

The core action

What "Send Quote" actually does

"Send Quote" is one button in your dashboard, but it does four things at once. Understanding them makes the rest of the product obvious:

That last part is the one people underestimate. A PDF sitting in an inbox is a dead end — you have to chase it. A quote with an Approve button on it closes itself.

Step by step

How it works, start to finish

Add the customer

Name, email, phone. This is who the quote is addressed to and where it gets emailed. That's the entire "customer record" — there's nothing else to fill in.

Add your line items

One line per piece of the job: a description, a quantity, and a unit price. Add a longer description under any line when the customer needs the detail — "3-ton condenser, 10-year parts warranty, permit included". Subtotal, tax, discounts, and the total calculate as you type.

Set the terms

Pick an expiration date so the price doesn't follow you around forever, add notes or a scope of work, choose a currency (USD, CAD, EUR, GBP, or AUD), and your saved terms and conditions get attached automatically.

Send it

One click. Your customer gets the branded PDF in their inbox plus a link to the hosted version. You can also just download the PDF and send it yourself however you like — text it, print it, hand it over.

They approve or decline

Your customer opens the link on whatever device is in their hand, reads the quote, and clicks Approve or Decline. Declines can include a reason. You're notified by email immediately, and every state change is recorded in a timeline you can look back at.

Turn it into an invoice

Job's done — convert the accepted quote into an invoice in one click. The line items and numbering carry over, so your paperwork stays consistent from first price to final bill.

Terminology

Quote vs. estimate vs. invoice

These three words get used interchangeably, and getting them wrong costs real money — an "estimate" your customer read as a fixed price is an argument waiting to happen. Here's the practical difference:

DocumentWhen you send itWhat it means
Estimate Before the job is fully scoped Your best guess. The final number can move once you open the wall, get on the roof, or see the site.
Quote Once you know the scope A firm price you're offering to honor, usually with an expiration date. This is the one the customer says yes to.
Purchase order When you're the one buying Your commitment to buy specific goods or services from a supplier at an agreed price.
Invoice After the work is done The request for payment. Same line items, different intent — now you're asking to get paid.

SendQuoteNow builds all four from the same screen. You choose the document type and the numbering follows automatically — Q-0042 for quotes, INV-0042 for invoices, PO-0042 for purchase orders — so a quote and the invoice it became stay recognizably related.

Common questions

Questions people ask before signing up

Yes. Upload your logo once in Settings and it appears on every PDF and on the hosted quote page, along with your company name, email, phone, address, and your own terms and conditions.
Every quote carries an expiration date you set when you create it (30 days by default). Once it passes, the quote is marked Expired in your dashboard so your open pipeline reflects reality instead of quietly filling up with dead leads.
Yes. Set a tax rate per quote and apply either a percentage or a fixed-amount discount. The subtotal, discount, tax, and total are calculated automatically and shown clearly on the PDF so nothing looks like it was made up.
No, and it isn't trying to. SendQuoteNow covers the part before the accounting — pricing a job, sending it, and getting a documented yes. Once you're paid, your books are still your books.
